As you know iPhone includes preset configurations for many of the popular providers such as Yahoo! Mail, Gmail, .Mac, and AOL, and in most cases sending mail will just work. However, if you are using a different email servcie provider you may configure the email settings with your provider provided. Then how to check if the current SMTP (outgoing server) settings being used is the same as the one provided by your email service or not?

It’s quite easy. Opne your iPhone and the go into the Email settings as follows: Settings –> Mail, Contacts, Calendars –> Accounts (select the mail account you want to set up) –> SMTP –> SMTP Server Name. Then you should see a screen similar to the image below.

If the settings are incorrect then you can change them and also save the changes.

Webhost4life supports TLS and SSL in their mail server. If you are using webhost4life email service then you can follow the instructions below to config secure SSL connections for Outlook and Outlook Express

Outlook

To setup the secure connection in Outlook 2007, we can

1. In the Tools menu, select Options then Mail Setup.
2. Choose ‘Email Accounts’ tab, select an account and click Change above the list of accounts.

Click More Settings, then the Advanced tab.
For Incoming server (POP3), change to the mail server address e.g. mail.domainname.xyz (in our hosting environment, default name for POP3, IMAP and SMTP servers would be mail.domain.com)
If you want to use SSL, update the Port value to 993 for IMAP / Update the Port value to 995 for POP
If you want to use TLS, update the Port value to 994 for IMAP / Update the Port value to 996 for POP

For Outgoing server (SMTP), change to the mail server address
If you want to use SSL, update the Port value to 465
If you want to use TLS, update the Port value to 587

3. Click OK > Next > Finish > Close > OK.

Outlook Express

With Microsoft Outlook Express, it’s possible to use secure SSL connections.
To enable secure SSL connections, you will:

1. Open the Advanced settings window for your mail account
2. Turn on both "This server requires a secure connection (SSL)" checkboxes
3. Change the Incoming mail (POP3) and Outgoing mail (SMTP) server to the mail server addresse.g. mail.domainname.xyz (in our hosting environment, default name for POP3, IMAP and SMTP servers would be mail.domain.com)
4. Change the "Outgoing mail (SMTP)" port number to 465, and the "Incoming mail (POP3)" port number to 995
5. If you are using IMAP, change the port to 993

  1. Open Thunderbird, ThunderBird
  2. Tools > accounts > server settings
  3. Change the mail server address e.g. mail.domainname.xyz (in our hosting environment, default name for POP3, IMAP and SMTP servers would be mail.domain.com)
  4. If you want to use SSL, update the Port value to 993 for IMAP / Update the Port value to 995 for POP

  5. In the Security Settings section, select SSL/TLS from the Use secure connection options.
  6. Click Outgoing Server (SMTP) in the folder list.
  7. Select the entry from the list and click Edit. The SMTP Server page appears.
  8. Change the mail server address
  9. If you want to use SSL, update the Port value to 465
       If you want to use TLS, update the Port value to 587

In particular, the person asking had just received a new Windows XP machine to replace her Windows 98 machine.

There are several approaches, naturally, but in a nutshell we’ll locate the folders on the old machine, copy them to the new machine, and then import them.

And then we’ll do something similar for the address book.

On the old machine, the easiest way to locate Outlook Express’ email store is to ask Outlook Express. Fire it up, and then in Tools, Options, on the Maintenance tab, there’s a button labeled Store Folder. Click that and it will tell you the folder containing your email folder.

Copy the entire contents of that directory to a floppy, CD-ROM, or share on your network.

The address book we handle a little differently. Open up the address book either from the accessories menu item on your Start menu, or by pressing Ctrl+Shift+B in Outlook Express. In the address book, select File, Export, and click on Address Book (WAB)…. You can now select a location and filename for your address book to be placed. Again, you can copy it to floppy, CD-ROM, or to a share on your network.

Fire up Outlook Express on the new machine, and we’ll just reverse the process.

Select File, Import, Messages…. Choose Microsoft Outlook Express 6 and press Next. Select Import mail from an OE6 store directory and press Next. Now on the next screen, browse to the location that you’ve placed the message store we saved from your old machine. Import, and your messages should now be transferred.

Note: if you’ve copied your mail folders to a CD-R, you’ll need to first copy them to your local hard disk, and then unmark them from being read-only before you import. OE will not open read-only folders.

The process for the address book is similar – even simpler. File, Import, Address Book…, select the address book we exported above, and import.

Finally, you’ll want to configure your email accounts in Outlook Express to access your email account from your ISP.

What is the point?

The auto-preview feature will allow you to see the sender and subject of every incoming email, before downloading it to your Inbox. This way, you can stay away from receiving large attachments, spam, email worms. It will save you bandwidth and it will keep your computer cleaner.

How do I auto-preview with Outlook?

The following steps explain how to enable the header auto preview feature of MS-Outlook 2002 and MS-Outlook 2003.

  • From the MS-Outlook main window, go to Tools -> Options, then open the Mail Setup tab and on the Send/Receive frame, click on "Send/Receive…". Select the accounts for which you want to enable the header auto-preview feature and click on "Edit…".

  • On the "Folder Options" frame, check the option "Download headers only" ,then click "OK"until you exit the Outlook options windows.

  • From now on, every email received through the selected Outlook Express email account, will not be download to your computer, but Outlook Express will only download the header section and it will display the Sender and Subject of the incoming email. Then, by right clicking on the email on the Outlook preview panel, you can instruct Outlook Express to delete the email message from the server or to download the entire email to your Inbox folder.

There is a spam protection feature called "greylist" enabled in all webhost4life mail servers. This feature essentially bounces all unknown messages trying to connect to your mail server and askes the sender’s mail server to deliver the messages again.

The premise is that SPAMMERs create scripts that bombard your server with emails. These messages are then bounced back to their sending email server. Greylist is effective because spammers will not usually bother to attempt a second delivery, but legitimate e-mail servers will.

For those messages that are returned to valid email servers, the messages will be retried at least four times. If the first retry is beyond the Block period 5 minutes, and within the Pass Period 6 hours, the message is passed to the Spool and it goes through its normal processing.

The email will be received when the send server is sending in 1st retry. If the sender server set it as 30mins. Then the email will be received in 30 mins after he press the send button. However the retry time is controlled in the sender side. Sometimes it might take longer time for the retry.

A record is also created that says this is a valid email address and keeps it for 36 days (default). If another email from the same email address is received within the 36 day, record clock is reset for an additional 36 days and delivered directly to the Spool.

If you are using webhost4life email service you may get some issue about email delay.

In order to provide better spam protection, all of webhost4life mail servers have implemented a new mechanism called "Greylist". This mechanism will cause a delay for 5-30 minutes on the first email sent to you from an unknown email address , depending on the configuration from sending server. This new system will NOT affect your daily email operation. (What is Greylist?)

This move is beneficial to all customers including you; since only first email from a sender is delayed and email is never a real time protocol. This mechanism will greatly reduce email spams sent to webhost4life customers.

If you really need full control over the spam setting and willing to accept a higher rate of negative spams,you can select webhost4life Dedicated Email package so that you’ll have access to disable the greylist feature.

If you are using webhost4life email service you can configure email in Mac OSX Apple Mail to send and receive emails. Below are the instructions on how to configure Mac OSX Apple Mail:

  1. Open Apple
  2. Click Mail and select Preferences
  3. Open the Account tab, and click the plus sign (+) along the bottom to add a new account (click on the image to see full size image)
  4. From General Information, choose POP or IMAP from Account Type:, enter the Account Description, Full Name and Email Address (click on the image to see full size image)
  5. Enter mail.yourdomain.com in the Incoming Mail Server field. (our hosting use same address for POP3, IMAP and SMTP server)
  6. Enter your email username (including @yourdomain.com) in the User Name: field
  7. Enter your email password in the Password: field (click on the image to see full size image)
  8. Enter mail.yourdomain.com in the Outgoing Mail Server field
  9. Check the Use Authentication check box
  10. Enter your email username (including @yourdomain.com) in the User Name: field
  11. Enter your email password in the Password: field (click on the image to see full size image)

If you want to configure smtp in your script in order to send email via web application,please use the smtp information below:

  • SMTP should be mail.Your_Domain_Name.com
  • Email Account should be any email address you create in your email admin panel. E.g.: sales@yourdomain.com
  • Password should be the password of the email address

P.S> Make sure the FROM address of the email that you are sending is a valid email address.  This is very important, you cannot send out an email using a from address that doesn’t exist.  This is used to prevent our customer from spamming.

What is this winmail.dat  file?

Many times you might receive an email with an attachment called winmail.dat. The file is sent from people using Microsoft Outlook as their email program. The file allows Outlook users to send Transport Neutral Encapsulation Format (TNEF) information along with the email so that it retains the look and feel of the document with formatting, fonts, and colors when its received by another Microsoft Outlook user.

Unfortunately, the file is only relevant and used by Microsoft Outlook. Users of Outlook Express, Eudora, Netscape Messenger, and other email programs will receive the attachment called winmail.dat with the email.

The file is attached to the email because the original sender is sending emails in Microsoft Outlook Rich Text Format instead of Plain Text format.

How to Configure Outlook NOT to send Winmail.dat attachments

To Turn off Rich Text sending for messages in Microsoft Outlook:

  1. Click on Tools in outlook
  2. Click Options, and then click the Mail Format tab
  3. In the Send in this Message Format list, select Plain Text, and then click OK

This will set your default sending method to Plain Text, which will lose your special formatting options with fonts, colors, etc. However everyone, no matter what email program they are using, will now be able to receive your email with no problems.
